
Sales Operations Coordinator
As Sales Operations Coordinator, you’ll be the operational backbone of our sales department—ensuring CRM data integrity, automating reporting, and supporting lead generation. You’ll leverage HubSpot CRM and integration tools to streamline processes, set up outbound campaigns and lead nurture automations.
You will also be responsible for creating and managing sales content, supporting proposal development, optimizing sales workflows, and leveraging technology to enable the sales team. Your role requires close collaboration with Marketing, Sales, and Insights teams to ensure strategic alignment, high-quality deliverables, and effective pipeline management.
This is an internal-facing role with a clear career path into individual contributor sales role, if desired.
Main Duties
CRM & Data Analytics
- Maintain accurate and complete sales data within HubSpot CRM.
Automate routine reporting by generating daily, weekly, and monthly dashboards, utilizing HubSpot’s AI-powered features. - Use CRM and AI tools to analyze data, identify trends, and generate actionable insights to improve sales strategies and campaigns.
- Track the effectiveness of campaigns, channels, lead sources, and KPIs, and recommend improvements.
- Evaluate, implement, and manage the sales tech stack, including automation tools and CRM systems.
- Develop workflows for prospecting and lead nurturing within HubSpot, including automation setup, optimization, and performance monitoring.
- Lead training sessions on using Hubspot, assets, automation tools, and sales enablement platforms.
Sales Content Development & Management
- Create, maintain, and update sales collateral including pitch decks, battle cards, case studies, and competitive intelligence materials.
- Develop and manage a centralized content library with version control and easy access for sales teams.
- Maintain and evolve sales templates such as RFP master templates and sales decks in collaboration with subject matter experts and design teams.
- Translate sales team feedback into content improvements, design updates, or new assets.
Proposal Support
- Lead and support all phases of proposal creation, including timelines, content requirements, and leveraging internal and third-party resources.
- Collaborate with sales, insights, and leadership to develop compelling, tailored proposal content—incorporating win themes and strategies.
- Manage operational aspects of proposals, including schedule coordination, intake calls, and follow-up activities aligned with client needs and strategic objectives.
- Support RFP responses by coordinating draft development, submission, and compliance requirements.
- Administrative & Operational Support
- Coordinate with internal teams and external partners for resourcing, sample management, recruitment, platform, and incentive costs.
- Provide ongoing administrative support for the sales team, ensuring alignment and effective communication.
Required Experience and Skills
HubSpot Expertise
- Expert user/administrator, proficient in reporting, automation, and sales support.
General Experience
- 2 years in sales operations enablement, with experience in proposals, pricing, and performance analysis.
- Bachelor’s degree required.
- Marketing/Market Research experience appreciated.
- Hiring manager also loves it if you’ve worked in the service industry.
Technical Skills
- Proficient with HubSpot, LinkedIn, and AI tools for automation and insights.
- Proficient with Microsoft Office Suite (Word, Excel, Outlook and PowerPoint), DocuSign and Adobe Acrobat.
Project & Process Management
- Strong organizational skills; able to lead workflows and meet deadlines.
- Ability to manage multiple priorities and projects under tight deadlines in a fast-paced environment.
- Strong organizational and time management skills with precise attention to detail.
- Ability to work independently and manage projects from beginning to end.
Communication & Collaboration
- Excellent written/verbal skills; effective cross-team and partner collaboration.
- Self-starter mentality (Be a driver, not a passenger) with a strong bias for action
- A growth-oriented mindset and willingness to move beyond their current comfort zone to develop new skills
